We take our customers seriously as we deal with them on a face-to-face and personal level at nearly every level of our business:

Generally, we collect information about you when you contact us or place an order for products or services. We also collect information when you voluntarily complete customer surveys, provide feedback and participate in competitions.

Training/Servicing

When you place an order or purchase one of our products, or contact us to deliver training or carry out servicing, and when you attend one of our training courses, we will ask for information about you, such as your name, address, company name, telephone number, email address and date of birth. This is known as “Personal Data”.

Product Sales

When you place an order or purchase one of our products, we may ask for information about you, such as your name, address, company name, telephone number, email address, date of birth, and billing details. This is to facilitate the purchasing or ordering process.

EvacNI may process your Personal Data, and on certain occasions, your Special Category Personal Data in the course of our undertaking. The following are the reasons why we might do so.

We will not share your information for marketing purposes with other companies without your consent. In processing your order, we may send your details to, and also use information from credit reference agencies and fraud prevention agencies.

Training Courses & Servicing

  • When taking a booking by telephone, email or mail for your attendance on a training course for the first time
  • When we take a booking or make contact with your employer by telephone, email or mail to book you onto a refresher training course
  • When recording and forwarding the result of a course assessment or examination to you and/or your employer. Copies of examination results are retained by us for training and competency recording purposes.
  • When sending an attendance certificate to you or your employer on satisfactory completion of the training course.
  • When obtaining feedback at the end of a course and retaining that feedback for our records.
  • When booking a service visit.
  • When recording/logging equipment location, condition and/or repair work.

Product Sales

  • When sending you promotional materials by direct mail or via social media.
  • When contacting you as an existing customer by letter, telephone or email.
  • When taking an order from you when you wish to purchase a product.
  • When specific details are necessary to enable us to supply the correct size, shape, height, and payload e.g. your specific measurements may need to be shared with suppliers and manufacturers of certain products and furniture.
  • When exemption of VAT is permitted on a specific mobility or lifestyle product, specific Special Category Personal Data along with general Personal Data will be required.

Employee Data

  • We hold and process Personal Data and in certain circumstances, Special Category Data in respect of our employees. Processing is necessary in connection with their employment and to enable us to undertake all payroll activities and to comply with employment and pension legislation.

All personal data is treated with the utmost confidentiality. However, we may share your “Personal Data” including “Special Category Data” in specific circumstances, as follows:

  • With administration staff in the course of our undertakings for delivery of our services.
  • With law enforcers, solicitors and the Courts.
  • At your request (written authority) or with others on your behalf, including spouse, partner or other family member or carer.
  • To comply with our legal, regulatory and good governance obligations.
  • When recording and forwarding the result of a course assessment or examination to you and/or your employer. Copies of examination results are retained by us for training and competency recording purposes.
  • When sending an attendance certificate to you and/or your employer on satisfactory completion of the training course.
  • When obtaining feedback at the end of a course and retaining that feedback for our records. We may also ask your permission to use your feedback for marketing purposes.
  • Personal and Special Category Data is stored on computers at our premises (individual computers are password protected to restrict access to named users only)
  • Our premises are fitted with an alarm system.
  • Our computers are all password-protected and regularly scanned by antivirus/malware software.
  • Our private server is also password-protected.
  • Access to personal data can only be made by authorised staff.
  • All computers in our office run the latest version of Windows 11 and have up to date and active security applications running at all times.
  • All email is sent via secure SSL/TLS settings to the email servers.
  • All electronic data on the computers is backed up onsite to our internal server.
  • The server is backed up regularly with the backup drive being kept off site, password-protected, and in a secure location.
  • Access to personal data can only be made by authorised staff.

Under the GDPR, you have the right to access and control your personal data. You can request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please contact us. We will not charge for this service. We also want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
